Membership Associate

Reports to:               Membership coordinator (membership is part of the marketing department)

Status:                       Hourly/nonexempt, regular full-time

Hours of work:        Standard work week; Monday–Friday, 8am– 5pm with flexibility needed to work some evenings and weekends.

About the Seattle Aquarium:

The Seattle Aquarium is owned by the City of Seattle and under nonprofit management. The Aquarium currently serves over 825,000 visitors and 40,000 school children and their teachers annually. Guided by its mission of Inspiring Conservation of Our Marine Environment, the Seattle Aquarium has a realistic plan for phased growth based on record-setting attendance, membership and fundraising growth, an energized board of directors and professional management. The current annual budget is $16 million.

Job purpose:

Seattle Aquarium seeks a membership associate to join the marketing team.  The membership associate supports the membership coordinator in all membership functions and provides excellent customer service by phone, mail and email to our 10,000 member households.  The ideal candidate will have three years experience in customer service and with Raiser’s Edge or another similar donor database in a non-profit setting.  Candidates must be customer service oriented and creative with excellent verbal and written communication skills.  They will be a true team player, solution oriented, organized and deadline driven. 

 

Essential functions:

  • Service phone calls and emails from members, in response to membership purchases, inquiries, problems or concerns

  • Answer immediate on-site messages from admissions staff regarding membership guidelines or customer issues

    • Keep up to date collateral count at the front desk, replenishing stock for admissions staff as needed

  • Fulfillment for all gift certificate memberships

  • Handle and track all program distribution for memberships that include staff, beach naturalists, Ocean Science, Citizen Science, etc. as well as any memberships that are given to Sodexo or other departments within our organization

  • Process and fulfill

    • Daily action queries

    • Weekly membership cards

    • Monthly volunteer memberships (after six months of service)

    • Yearly staff renewals

  • Data entry as needed and coordination with data entry team to solve possible issues

  • Help establish priorities for membership data entry projects by communicating and following up with team for job completion

  • Help coordinate and execute all facets of holiday gift campaign with guidance from supervisor

  • Compile monthly membership sales reports

  • Assist in planning and execution of members-only events, and provide assistance day-of

  • Help organize and prioritize articles/stories and proof monthly member emails

    • Maintain communications calendar, updating with changes as they develop

  • Generate files for renewal notices every month and coordinate proofs with print house

    • Track Aquarium postage accounts and refill as needed

  • Attend monthly internal membership meetings, quarterly regional membership council meetings, and monthly marketing meetings

  • Help train new and existing employees on membership procedures and policies

Additional responsibilities:

  • Brainstorm and implement ideas toward building membership program and department strength

  • Provide backup and event support as needed

  • Perform other duties as assigned

Skills, abilities and other requirements:

  • Must have knowledge and experience with Raiser’s Edge donor database or with a similar donor database used in a nonprofit setting. ACME Ticketing experience a plus.

  • Proficiency with all Microsoft Office programs and demonstrated ability to learn new software quickly.

  • Able to multi-task and stay organized.

  • Self-motivated with initiative.

  • Excellent customer service skills.

  • Creative thinking.

  • Deadline oriented.

  • Able to problem solve quickly and under pressure.

  • Good written and verbal communication skills.

  • Team player.

Salary and benefits:

D.O.E. This is a full-time, hourly position. Full-time staff are eligible for the Seattle Aquarium’s comprehensive benefits package which includes medical, vision, dental (subsidized dependent coverage also available), HRA, FSA, life insurance, short- and long-term disability, long-term care, access to a subsidized ORCA pass, and generous paid time off.

Experience Required

Education: High school plus some college Experience: 3+ years working with Raisers Edge 3+ years working in customer service Working conditions: Sitting for long periods of time Ability to walk/travel between buildings in campus environment and in all weather conditions Extensive keyboard activity, 75 percent of time Talk on phone with members, staff and other customers Local off-site travel for events or meetings Lifting up to 50 pounds on occasion Overtime requirements for evening/weekend events
