Office Manager


Responsible for supervising the team of administrative assistants supporting the executive leadership team, managing projects, such as Tessitura (POS system) and strategic plan implementations, and ensuring full administrative support for the CEO is provided.  Duties will include prioritizing administrative workflow, evaluating performance of the administrative assistants, establishing, documenting and enforcing project timelines, maintaining project status updates, consolidating project team member contributions, and acting as building manager for the administrative offices.


  • Take minutes and attendance at all Board and Committee meetings, coordinate calendars, prep for meetings
  • Serve as public interface representing the office of the CEO with board members, VIPs, City of Dallas officials, AZA and AZA SAFE
  • Manage all aspects of the administration building, ensuring adequacy of office supply inventory, neatness and cleanliness of shared areas, and approving all changes in public space décor, office assignments, etc.
  • Schedule tours for VIPs and other special visitors
  • For all implementation projects assigned, provide continual project analysis and update the project plan as needed
  • Foster strong and direct communication with members of project implementation teams, ensuring that deadlines are communicated and proactively checking to make sure the project deliverables are on target
  • Maintain communication at all times with the CEO and executive team, ensuring their administrative support needs are being met
  • Evaluate job performance of administrative assistants, delivering timely feedback and correction where necessary
  • Arrange for appropriate training of administrative staff where there is a gap between knowledge and job duties
  • Work with various groups to assist in coordinating Zoo-wide employee-centric events and activities
  • Perform other duties as assigned and directed by the CFO or CEO



  • Must have a bachelor’s degree
  • Supervisory experience preferred
  • Must have project management experience
  • Must have significant experience with Microsoft Office modules including: Word, Excel, PowerPoint and Outlook
  • Must have strong analytical skills for problem resolution
  • Must be proactive, a self-starter, and capable of working independently with little supervision as well as part of a team
  • Must be polite and professional and able to establish and maintain an effective rapport with all levels of management, employees and zoo guests
  • Must be able to communicate effectively both orally and in writing
  • Must be level headed in difficult situations, reacting quickly and positively to bring problems to resolution
  • Must be able to follow oral and written instructions, be flexible, self-motivated and a team player with good observational skills
  • Must be able to walk, stand, sit, kneel, stoop, crawl, twist, reach above head, pull, bend, climb stairs and ladders and carry up to 50lbs
  • Must have a valid Class C Texas driver’s license and reliable transportation
