Membership Manager

Position Description: Responsible for overseeing the Membership Program including retention of current members and acquisition of new members as well as supporting functions of the development department as needed. Prepares and monitors department budget; promotes the zoo and its mission. Provides oversight of Raisers Edge database and website platform.

 

 

Essential Job Functions:

  • Manage day-to-day functioning of a high volume, income generating department.
  • Grow revenue from membership renewals, upgrade and acquisition campaigns and the Adopt an Animal program.
  • Process all new, renewal and special membership applications; enter information into donor management software (Raisers Edge), prepare and print membership cards and prepare membership package envelopes for mailing. This includes mail, on-sight and internet sales.
  • Provide excellent, responsive customer service and train membership sales staff in the same; reply to membership calls within 48 hours and provide written correspondence as needed.
  • Establish annual membership renewal schedule and process and send out renewals.
  • File completed membership into an alpha system for auditing and performs related clerical tasks.
  • Ensure timely mailings and accurate data entry, report production and analysis at the end of each processing application.
  • Coordinate mailing list and mailing process for membership newsletter, enewsletter and work on newsletter design.
  • Coordinate, design and implement yearly membership calendar.
  • Coordinate and manage annual Spring Acquisition / membership direct mail.
  • Re-order printed membership materials and other fulfillment items; maintain inventory. Updated printed material as needed.
  • Maintain and ensure accuracy of Raisers Edge donor database including software upgrades; requires extensive knowledge and periodic checks and clean-up of systems.
  • Perform data uploads to Constant Contact email service.
  • Identify prospective donors and implement strategic plans to acquire new members; retain and upgrade current members; and recapture lapsed members through on and off- site promotion and mail and email marketing.
  • Prepare and monitor department budget.
  • Plan and execute members only events and assist with other fundraising events as needed
  • Manage all aspects of annual Member’s picnic in conjunction with Special Events Manager.
  • Assist with special event and fundraisers as required; may participate in event tickets sales, processing, event organizing and set up and implementation and clean up.
  • Implement strategic plans and strategies for membership acquisition and retention.
  • Analyze and develop year to date and month to date comparison reports.
  • Maintain reciprocal zoo listings (via AZA and Zoo/Aquarium membership depts.) and update as needed.
  • Promote the zoo and its mission.
  • Perform other duties as requested.

     

     

    Skills / Knowledge Required: Bachelor’s degree. Marketing and membership experience a plus. Must have excellent verbal and written skills and a thorough knowledge of word-processing, spreadsheet and donor software - familiarity with Raiser's Edge is a plus. Experience in delivering high quality and timely customer service in a busy and high pressure environment.

     

    Must be detail oriented, highly organized and able to balance multiple tasks. The ability to work independently, as well as in a team-based environment is critical. A passion for the mission of the Potawatomi Zoo.

     

LANGUAGE SKILLS:

Ability to effectively communicate information and respond to questions from groups, managers, employees, PZS members and the general public.

While performing the duties of this job, the employee occasionally works near moving mechanical parts, and is occasionally exposed to risk of electrical shock. The employee will be working outside on occasion. The employee will be exposed to many different animals, and insects in the zoo environment.

 

The noise level in the work environment is usually moderate, but may increase to somewhat louder when animals and children are involved. May incur animal bites, scratches, etc.

 

MENTAL DEMANDS:

The mental characteristics to competently perform this job include the occasional need to write and instruct; the frequent need to be resourceful and analytical in solving problems; and the continuous need to be alert, precise, and accurate in performing all job functions.
