Butterfly House, Visitor Services and Volunteer Coordinator

Supervises and coordinates activities of Visitor Services volunteers and staff, including the Interpretation Attendant.  Responsible for the recruitment for all Butterfly House volunteers and interns. Responds to the needs of visitors and ensures a positive visitor experience.  Supports the coordination and facilitation of Butterfly House birthday parties. Responsible for the opening and closing duties, of the Butterfly House, and supports other Butterfly House programs and events. Responsible for producing and presenting informational and educational programs for various audiences, as needed.  Supports public and private events, including assisting with the sound system for wedding ceremonies.

Essential Duties and Responsibilities:

  • Ensures a positive guest experience by welcoming, admitting and directing guests in a friendly and professional manner; provides information in person or by answering the guest information telephone line in an energetic and cheerful manner, providing callers with accurate information; applying comprehensive/accurate knowledge of the Butterfly House procedures and guidelines.
  • Provide guests with orientation for visiting the Butterfly House Conservatory.
  • Serves as the Butterfly House's volunteer program coordinator, recruiting, interviewing, supervising, training, and recognizing volunteers.
  • Writes and distributes Monthly Volunteer newsletter.
  • Works closing with Missouri Botanical Garden's volunteer program staff, to uphold policies and procedures.
  • Coordinates the Butterfly House Internship Program. With the support of other department leaders: Recruits, interviews and orientates all new interns.
  • Manages the coordination of volunteers, for both daily Visitor Services assignments and special events.
  • Assists with volunteer and intern applicant inquiries.
  • Provides a variety of administrative support functions in support of the volunteer program.
  • Assists with the planning and facilitation of guest programs/events.
  • Performs opening and closing duties, including the cleaning of entrance/exit vestibules.
  • Ensures that guests adhere to their assigned room times to maintain the daily schedule.
  • Communicates and coordinates with other staff members for special event and volunteer needs.
  • Coordinates Monthly Volunteer Training Sessions, working closely with other departments.
  • Oversees Butterfly House survey system, including post-program/event surveys and onsite quality surveys.
  • Communicates with guests to proactively address and resolve questions, issues or problems that arise.
  • Assists in the set up and tear down of birthday parties; may include but is not limited to lifting and moving tables and chairs, arranging decorations, cleaning birthday party room.
  • Supports the scheduling and facilitation of birthday parties. Facilitates party activities with enthusiasm and professionalism; creates a high-energy party environment and help everyone children and adults have fun.
  • Meet or exceed a birthday party revenue goal of $25,000 annually.
  • Assists in promoting and scheduling of self-guided group visits.
  • Responsible for the orientation of self-guided group visits.
  • Maintains a neat and clean Guest Services' work area at all times.
  • Creates Daily Information Bulletins to alert staff and volunteers of daily activities.
  • Ensures a safe and secure work environment in compliance with Garden standards.
  • Responds effectively to unanticipated situations.
  • Be alert for opportunities to improve operation and service. Behaves and communicates in a manner that promotes and fosters a culture of teamwork and cooperation, within our division and throughout the Garden, with co-workers, supervisors/managers, volunteers, visitors and employees.
  • Perform other duties as assigned.

Supervisory Responsibilities: Supervises the Interpretation Attendant; coordinates more than 160 regular volunteers and an additional 300 special event volunteers.                         


Experience Required

Qualifications/Experience: Minimum of (1) year prior guest/customer service experience required: assisting the public cooperatively and courteously required. Minimum of (1) year volunteer coordination experience. Experience working with children and adults. Ability to provide guest service within a fast-paced mission based public attraction; strong focus on execution and sense of urgency required. Demonstrated ability to communicate effectively at all levels; must enjoy and feel comfortable interacting and working in close proximity to general public, in a safe and friendly manner. Demonstrated ability to work effectively in a fast-paced, high volume, retail environment. Demonstrates highest level of professional and ethical conduct; knowledge and understanding of organizational policies, procedures and systems. Participates as an active member of the Missouri Botanical Garden Safety Committee. Maintains all of the Butterfly House First Aid kits and equipment. Must be punctual, dependable, self-starter, and possess the ability to effectively multi-task and work under minimal supervision. Scheduling flexibility that allows working weekends, some evenings and holidays is required. Use of personal vehicle required to travel and purchase supplies. Exceptional, organizational, time management skills, problem-solving and conflict resolution skills required; ability to work independently with little instruction; coordinate and prioritize multiple tasks, set deadlines, and complete projects in a timely manner.
