Animal Programs Administrative Assistant (Seasonal)

The Animal Programs Administrative Assistant (Seasonal) contributes to the success of the Chicago Zoological Society (“CZS”) by providing a full range of administrative and clerical support to Animal Programs (“AP”) to ensure efficient, seamless processing of transactions and maintenance of accurate/current department information in support of the Society’s goals related to animal welfare and providing an extraordinary guest experience.
The primary duties and responsibilities:  Oversee the uniform program for the AP Group.  Act as a liaison between the keeper staff and vendors to resolve issues, and verify invoices for payment.  Order footwear and outerwear for the Keepers and maintain a record of usage.  Maintain a small inventory of CZS garments to provide to AP staff.  Provide administrative support, manage incoming calls to AP, distribute mail, assist Curatorial staff as needed and communicate Special Events/Catered Events to keeper staff.  Coordinate equipment repairs for AP departments and arrange the bi-annual inspection and calibration of scales in the animal exhibit buildings throughout the park.  Assist the Animal Programs Office Manager with processing and tracking purchase orders for all AP departments.  Other related duties as assigned.
This position includes the following requirements: High school diploma or (GED) equivalent required.  Associates Degree in Business, Communications or other directly relevant field or four years of equivalent experience required.  Three years administrative and/or management experience providing comparable level of support for multiple managers.  Experience in biology, knowledge of zoo operations, and/or animal background required.  Computer proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.  Must be able to use basic office equipment (copier, fax, etc.).  Excellent prioritization skills and strong attention to detail and accuracy. Effective problem-solving skills, ability to make sound decisions; strong coordinating skills, solid follow-up and follow through skills.  Strong interpersonal skills required.  Ability to effectively deal with all levels of staff, both within and outside the organization.  Strong verbal communication skills.  Excellent telephone etiquette and effective listening skills required.  Must be able to work under pressure and meet critical deadlines.  Must communicate with sensitivity and have a strong customer service approach in addition to a demonstrated ability to work with the public.  Experience and/or ability to work and interact effectively with a diverse, multicultural audience.  A valid driver’s license is required on date of hire.  If an Illinois resident, must possess a valid Illinois driver’s license at the time of hire or must obtain one within 90 days of hire.  A valid out-of-state driver’s license is required at time of hire for out-of-state residents. 
The preferred qualifications: Non-profit experience desirable.  Multilingual ability, Spanish fluency a plus. 
Additional Information:   Hours are set as Monday – Friday 8:00 a.m. to 12:00 p.m. during the period of February 15, 2017 – April 11, 2017.  The incumbent is responsible for coordinating and managing multiple tasks for the managerial and AP keeper staff.   Must be proactive, helpful, and able to identify tasks to be completed, and move forward without prompting.  Strong decision-making skills are needed.  Incumbent is required to gain a solid understanding of the organization, individual departments and functions, the Society's mission, vision, values, history, and operating philosophies, and how AP impacts the organization and interacts with individual departments.  Must be highly flexible and adaptable, have a strong work ethic, and be highly tactful and professional at all times.  Must be able to work under pressure and handle multiple projects and people in a fast-paced environment with rapidly shifting priorities.
