Reservation Assistant


This position is responsible for administration of department programs including processing and confirming program reservations, invoicing, accounts receivable, client and program database maintenance, verbal and written customer communication, daily and weekly reporting, post program surveys, and other duties as assigned.


  • Reservations
    • Provide timely and professional guest service to external as well as internal customers in a fast-paced environment. Maintain good customer relations with all program participants and interact with co-workers in a positive manner.
    • Process reservation requests for department programs for both the Dallas Zoo and Children’s Aquarium at Fair Park. Includes creating reservations, communicating with customers, providing confirmations, invoicing/payment processing, and survey distribution.
    • Create and manage reservations in multiple systems, using scheduling software and web based software.
  • Develop and manage programs in web-based reservation systems.
  • Maintain facility and instructor scheduling calendars.
  • Update and maintain client databases.
  • Answer Education scheduling phone during operating hours and respond to Education emails.
  • Provide assistance to part time reservation staff.
  • Revenue Management
    • Receive and process payments for department programs.
    • Generate and submit invoices for school programs, fee-based programs, and grant funding programs.
  • Ensure all types of monies are safely stored in the proper place daily.
  • Resource Management
    • Assist with department inventory management and purchasing.
    • Assist department in achieving goals of sustainable use of resources by effectively and efficiently using program resources.
    • Assist with website administration.
    • Develop and distribute e-mail marketing for department programs.
    • Submit program offerings to community organizations, including Girl Scouts, ArtsPartners and Learning Partners.
  • Reporting
    • Generate visitation, program, and booking reports, as requested, including weekly, monthly, quarterly and annual reports of programs and audiences.
    • Update and maintain program participation numbers on a monthly basis.
    • Track and confirm program participant numbers.
  • Learning Partners and ArtsPartners Scheduling and Payments
    • Submit program offerings, schedule field trips and programs, confirm bookings through ArtBiz, confirm bookings with groups, confirm program participation, generate invoices, submit invoices for payment and process accounts receivables.


  • Must have a high school diploma or GED. Bachelor’s degree preferred, or equivalent combination of training and experience.
  • Experience with Outbound or Tessitura reservation system a plus.
  • Experience with WordPress and web-based marketing tools a plus.
  • Must be highly proficient with Microsoft products (Word, Excel, Powerpoint), including using formulas, merge and linking features, charts, and tables.
  • Must possess a high level of comfort learning new technology in a fast-paced environment.
  • Must be flexible, self-motivated and a team player.
  • Must be able to follow verbal and written instructions.
  • Must be able to establish and maintain an effective rapport with all levels of management, employees and zoo guests.
  • Must have exceptional verbal and written communication skills.
  • Must have exceptional organizational skills, attention to detail, and ability to manage multiple tasks at one time.
  • Must be able to work occasional holidays and weekends.
  • Bilingual in Spanish strongly preferred
  • Must have a valid Texas driver’s license to operate Zoo vehicles and reliable transportation.
  • Must be able to walk, stand, sit, kneel, stoop, crawl, twist, reach above head, pull bend, climb stairs and ladders and carry up to 50lbs.
  • Bilingual in Spanish strongly preferred

Successful candidates must complete a pre-employment drug screening, background check and TB test.
