Registrar

General Summary:          The Registrar reports to the Executive Vice President of Animal Programs, and is responsible for the comprehensive management of the Zoo’s multi-format Animal Records database.  This position is responsible for training staff on the use of the Zoological Information Management System (ZIMS) to record important management, husbandry, and life-cycle information.  The Registrar will participate in industry organizations, such as the AZA and ZRA, and is required to represent the Zoo in a positive and professional manner.

 

Essential Functions:

 

Primary Function:

  • Manages and maintains animal records systems, ensuring data quality, appropriate retention, preservation, and accessibility.  Maintains animal census data and core data within a multi-format animal records system. 
  • Compiles or analyses data for use by Collection Managers and other Zoo personnel for scientific publications, animal husbandry development, and departmental programs
  • Responsible for training staff on the use of the animal records database Zoological Information Management System (ZIMS) to record important management/husbandry/life-cycle information.  Reviews the data entered by keeper and veterinary staff. Performs data integrity checks to verify current and historical data. 
  • Reviews record-keeping and transaction procedures, recommends changes and implements improvements.
  • Acts as a primary resource for animal collection inquiries from the staff, docents, researchers, zoo professionals, and public.
  • Maintains a high level of proficiency with ZIMS in order to optimize use, both on a Zoo-wide level and on an individual-user level.  Administers animal records database setup on staff computers and provides ZIMS training to users.  Ensures users understand all new enhancements to the program following major releases.  Develops procedures to generally increase the effective use of ZIMS. 
  • Collaborates with Collection Managers and Keepers to maintain inventory control.
  • Performs various administrative tasks for the Living Collections Committee
  • Monitors status of legislation pertaining to exotic wildlife and transport procedures and ensures compliance. 
  • Collaborates with Collection Managers to prepare and maintain the Federal, State and local permits necessary for the possession and transport of wildlife.
  • Responds to correspondence, surveys and questionnaires referable to animal records database and to general correspondence directed to Animal Records or delegates as appropriate. Summarizes data and produces reports required for studbook questionnaires and uses records to verify data in published studbooks.
  • Perform other duties as assigned; and,
  • Adhere to all policies and procedures of the Zoo.

 

Communication (Internal and External):

 

  • Actively collaborate with Animal Department and Hospital Staff
  • Communicate with all Zoo personnel, volunteers, and visitors in a professional manner
  • Serve as a point of contact between the Animal Department and outside organizations/institutions, as well as other Departments within the Zoo
  • Represents the zoo in a positive and professional way in industry organizations such as AZA (Association of Zoos and Aquariums) and ZRA (Zoological Registrars Association).

 

Management of Resources (financial, human resources, facilities):

 

  • Prepares annual budget for Animal Records and Library needs

Experience Required

Minimum Qualifications: Education: • Bachelor’s degree or equivalent in science, archival or library science, or related field required. Experience/Training: • Six months of related training or experience; • Computer experience in database management; and; • Understanding of basic statistical techniques and population genetics concepts desirable. • Valid driver’s license preferred. Traits Desirable: • Diligent and well-organized. • Demonstrated strong communication skills, including excellent writing ability. • Ability to interpret and synthesize information from a variety of sources into concise and accurate reports. • Intermediate knowledge of Microsoft Office programs to include Word, Outlook, Excel, Access and PowerPoint; and, • Demonstrated ability to maintain business confidentiality. Equipment: • Must be able to operate a variety of machines and equipment including computer, copier, fax, scanner, telephone, radio, and vehicles. Working Conditions: • Must be able to travel large areas of the Zoo as needed.
