Donor Records Specialist
General Purpose
This position is responsible general administrative and database support functions associated with the Zoo’s Customer Relationship Management system (Altru) for the departments within the Advancement division including: development, events, marketing, membership, and guest services. This position also functions as a back-up to the CRM system administrator located in the IT department.
Our comprehensive compensation package includes 100% employer paid Medical/Dental/Vision insurance, Employee Assistance Program, 401k with employer match, 10 Paid Holidays, Paid Sick, and Paid Vacation time on an accrued basis. The pay range for this position is $20-$24 per hour. Offers will be based on the successful candidate's experience.
Essential Functions
- Manages computerized records of all Zoo donors and members ensuring accurate information and assists in producing donor lists as needed.
- Enter and process all gifts, pledges, and in-kind donations into Altru and generate acknowledgment letters, receipts, and pledge reminders; coordinate with Accounting Office to ensure gifts are booked correctly.
- Create, track, manage, and upload all constituent records and information in a timely manner (i.e., constituent codes, funds, appeals, attributes, relationships, events, and event attendees).
- Complies statistical information on donations and prepare periodic reports.
- Conducts prospect research.
- Attends community events to promote the Zoo and assists in the coordination of fundraising events during regular working hours and after hours when needed.
- Orders and organizes donation recognition plaques, tiles, and tribute recognition plaques.
- Assists Development staff with research, reporting, proposals, and applications.
- Helps coordinate all mass donor mailings.
- Performs general administrative tasks and other projects as assigned.
- Assist users with Altru questions and training.
- Maintains and updates the policies and procedures manual.
- Works with CRM Administrator and subject matter experts to develop new policies and procedures.
- Serves as the back up to the Altru system administrator
- Maintains the structure of attributes, code tables, configuration items, and other setup functions.
- Maintains data integrity by establishing regular system checks, such as locating records without constituent codes or addresses/salutations.
- Creates and maintains designation records.
- Participates in regular Altru user group meetings with subject matter experts from each department.
Qualifications/Basic Job Requirements
• Experience with database administration. Experience with Altru, Raiser’s Edge, Salesforce or
other CRM database preferred.
• Exceptional customer service skills
• Proficiency with Microsoft Office suite is required.
• Valid California driver’s license and a clean driving record.
• Excellent written and verbal communication skills required. Bilingual (Spanish or Hmong) skills a plus.
• Ability to multi-task and prioritize workflow and deadlines.
• Ability to work evenings, weekdays, weekends, and holidays as needed.
• Bachelor’s degree preferred.
• Two years of donor administrative and/or fundraising experience preferred.

• Expressing or exchanging ideas by means of the spoken word. The employee must convey detailed or important spoken information to others in small and large group settings.
• Hand and finger dexterity sufficient for typing and other administrative tasks.
• The employee is regularly required to lift and/or carry up to 5 pounds, and occasionally up to 25 pounds.
Work Environment
• This position regularly works with others including Zoo executives and employees, Zoo guests and community members, media, and government officials.
• The position primarily functions indoors, with frequent exposure to outdoor Zoo environments and external events.
Experience Required
