Development Coordinator

FOSSIL RIM WILDLIFE CENTER invites applicants for the position:
Development Coordinator
Summary / Purpose of Position
Reporting to Executive Director and working closely with consultants and others in the Development and Marketing Departments, the incumbent will be responsible for data entry, scheduling, donor interaction and planning, and various administrative functions in support of the Development Department activities. The incumbent will standardize and coordinate the entry of data and mining of information, as well as maintain database integrity primarily in the development database. The position will support efficient and compelling fundraising by the Development Department in support of FRWC’s capital and program needs to further our mission.
Position Duties and Responsibilities: The essential responsibilities for the Development Coordinator are, but not necessarily limited, to the following:
Data Gathering and Entry Support:
  • Ensure the timely data entry, processing and written acknowledgement for all gifts, cash and non-cash, received by mail, via the website or otherwise.
  • Enter constituent data for all individuals and organizations, including address updates, constituent demographics, and relationship links.
  • Maintain accuracy of donor constituent data files and paper folders, and ensure overall cleanliness and completeness of Fossil Rim Wildlife Center’s donor database.
  • Enter returned mail address corrections or other such change of address or email notifications.
  • Accurately record and track report requirements for grants and other funding sources to ensure compliance.
  • Explore capabilities of donor management system and share this knowledge with relevant staff.
  • Assist with tracking all information for grant applications and reporting requirements.
Administrative Support:
  • Produce acknowledgement letters for all donor gifts received.
  • Create and maintain records and correspondence for pledges/receivables, generate notifications, invoices and reminders as appropriate.
  • Generate analytical donor reports, database queries and donor lists as necessary.
  • Produce monthly reports for the Executive Director, Development Director, and development consultant.
  • Produce reports and assist with general analysis of data as it relates to fundraising and donor recognition.
  • Assist in research for funding opportunities and draft proposals as well as completing grant reports.
  • Assist with confidential research for updating businesses information, including contact persons for "Primary Contact" for businesses.
  • Assist with conducting research on individuals, corporations, and foundations for prospect activity and maintain integrity of data.
  • Provide back-up for other fundraising and office staff when needed with telephone and correspondence.
  • Assist the fundraising and communications teams on email and direct appeals, special events and projects as needed.
  • Assist with development of marketing, outreach materials and the use of social media for promotions to existing and potential donors. Assist Marketing Department with donor interviews for donor profiles and testimonials for our website and social media sites.
  • Manage e-communication for development events, news and activities.
  • Work with the Finance Department to process financial contributions per the Financial Policies and Procedures Manual.
  • Assist with the production of fundraising and campaign collateral.
  • Assist with planning, organizing and executing Development events.
  • Seek out grants and assist staff in writing grant applications and preparing the requisite progress reports to the donor entity.
  • May arrange, attend and support meetings with donors and prospective donors. Convey goals of the organization while explaining how a donor’s contribution can further the mission.
  • Be available to give support during Donor’s visits.
  • Keep up to date with filing and recordkeeping.
  • Regular attendance is required as per set schedule.
  • Ensure compliance with Employee Handbook, Risk Management Plan, safety rules and procedures, vision, mission, values and goals.
  • Carry out other duties as assigned.
General Duties:
  • Be familiar with and understand the structure and function of all FRWC departments.
  • Adhere to all relevant policies, procedures and the strategic development plan.
  • Remain highly focused on FRWC’s capital needs and/or specific program needs.
  • Provide related assistance as required for special projects as required.
Performance Criteria:
Demonstrate initiative and ability to organize with the ability to prioritize a diverse workload in a busy environment. Ability to function as a member of a team to fulfill the team's responsibilities.
Required Experience, Capacity and Skills:
  • One year of experience in CRM administration, preferably in a non-profit fundraising environment.
  • Strong ability and commitment to accuracy and database integrity.
  • Familiarity with non-profit fundraising strategies, particularly vis-à-vis donor data best practices.
  • Excellent communication and organizational skills.
  • Ability to manage multiple projects and exercise independent action.
  • Demonstrated ability to work successfully in a team environment.
  • Strong interpersonal skills and ability to work independently with staff at varied levels.
  • Familiarity with Salesforce or similar CRM platform.
  • Proficiency in Microsoft Office suite.
  • A positive ‘can do’ attitude is essential.

Work Requirements
Five day work week, which will require flexibility and the ability to work weekends and holidays
if help is needed for events and donor tour support. Irregular scheduling in which days may exceed 8 hours. Adherence to the schedule that is laid out for you on a weekly basis is required.
