Event Support Representative - Part-time

Reports to:               Events manager and retail partner liaison

Status:                      Part-time, hourly, benefitted position

Hours of work:        20–30 hours per week, depending on the season. Shifts most often occur 5pm–2am and applicants must be available for regular Friday, Saturday and Sunday shifts; specific shifts will vary based on event schedule. When assisting the guest services team, shift will occur from 9am to 6pm.

Position description: 

The Seattle Aquarium is looking for a part-time event support representative to join the events team. This position furthers the mission of the Seattle Aquarium, Inspiring Conservation of our Marine Environment, by working with the event manager to oversee a wide variety of evening rental and event functions in the Aquarium facility, from intimate weddings to 1,500-person parties.


Essential functions:

  • Manage and oversee events when they occur as the lead event representative.

  • During events, act as the primary liaison between the Aquarium and Sodexo, our events/food service provider; stay in constant communication with Sodexo leads to ensure that specific event needs and details are being fulfilled.

  • Assist Sodexo in ensuring that all needs are met for the event client and all event vendors.

  • Communicate event details and needs to other Aquarium staff, security staff and volunteers as necessary, receiving and providing updates as the event progresses.

  • Perform a closing walk through of the facility with Sodexo staff to ensure that the Aquarium is ready to return to normal business after an event.

  • Oversee appropriate event staffing during an event including event staff, maintenance, visitor engagement, guest services as needed.

  • Monitor guest behavior to ensure a safe event and protection of animals and habitats.

  • Act as a first responder for any emergency issues that may arise during an event.

  • Assist in providing on-site basic audio-visual support if necessary.

  • Complete post-evaluation after events and address any issues or problems in a timely manner; report any outstanding issues or problems.

  • Assist the guest services team as a guest services representative on weekends as time allows. 

  • Responsible for accurate and timely setup, operation and breakdown of audio-visual equipment.

  • Set up and install microphones, lights, podium, speakers, etc.

  • Troubleshoot equipment and ensure events run smoothly.

  • Perform other duties as assigned.


Additional responsibilities:

  • Ability to work independently and as part of a team.

  • Must be able to handle stressful situations gracefully and remain calm under pressure.

  • Must be able to communicate effectively in person and/or on a radio with colleagues, customers, partners and vendors.

  • Demonstrate strong organizational skills and self-motivation.

  • Microsoft Office program experience is highly desirable.


Experience, education and certifications: 

We will consider various combinations of relevant experience and education in order to meet minimum requirements. 


  • Minimum two years’ experience working with events, preferably in an aquarium, zoo, museum or other cultural or tourist attraction.

  • Basic knowledge of sound, video and lighting equipment.


  • Hospitality degree or certification is helpful but not necessary if the candidate has related event experience.

  • Experience in a supervisory role.

  • CPR, first aid and AED certifications (by date of hire). 


Working conditions:

  • Lift, push, pull and move objects up to 30 pounds.

  • Work with culturally diverse populations.

  • Flexibility and willingness to work long and irregular hours and days, evenings, weekends and holidays.

  • Work with moderate to loud noise levels.


Salary and benefits: $22.00–$24.00/hour. Please include pay expectations in your materials. Part-time staff are eligible for the Seattle Aquarium’s part-time benefits package to include medical, vision, employer-funded health reimbursement account, flexible spending account, an Aquarium Family Plus membership and access to a subsidized ORCA pass as well as paid sick time.
