Maintenance Administrator

This position reports to the Maintenance Manager and coordinates the work of the Maintenance team, specifically as it relates to work orders, planned & preventative maintenance, projects, purchasing, and processing invoices. The Maintenance Coordinator is also responsible to coordinating and tracking all preventative and planned maintenance both performed internally and with outside vendors.
Essential Functions:
  • Perform general office duties
  • Coordinates, routes, follows up with, and analyses Maintenance team, work orders.
  • Serves as administrator of the Zoo’s work order software, Facility Dude.
  • Develop and manage inventory of Maintenance parts, equipment, & supplies in Facility Dude inventory module.
  • Serves as administrator of the Zoo’s Building Information System (BIS)
  • Work with Maintenance Manager to develop and manage Maintenance team training program.
  • Ensures that all timecards are correct and ready for approval for payroll.
  • Works with the Maintenance Manager to manage the maintenance PTO calendar and schedule.
  • Works with the Maintenance Manager to post all Maintenance OT in accordance with Departmental and CBA policies and procedures.
  • Works with the Zoo’s Occupational Health & Safety Manager to ensure that Maintenance staff are compliant with all health and safety measures.
  • Works with Maintenance Manager and Maintenance staff to develop work plans to ensure that the department is working proactively and minimizing reactiveness.
  • Ensures proper documentation of all maintenance work and that documentation is properly stored for easy retrieval. Supports all departments with information they may need related to maintenance work orders.
  • Create and manage facility Preventative Maintenance plan/calendar.
  • Develop relationships with and train/manage associated contractor on site. Participate in contractor/subcontractor meetings.
This is a full-time, salaried (exempt) position with benefits. Position open until filled. Akron Zoo is an EOE and Drug Free Workplace.
  • High School diploma or GED equivalency. Bachelor’s or Associate’s Degree in related field is desirable.
  • OSHA 10 Certification or willingness to obtain
