Project Manager

 

The National Aquarium’s Project Manager will serve as a key member of the brand strategy team; collaborating and leading the coordination of projects through all stages of creative development, production and execution. This role acts as the liaison between the Creative/Content/Digital teams (referred to as Brand Team or BT) and requesting internal stakeholders to ensure deliverables and products are on brand, on deadline, on budget and aligned with organizational values and priorities. This role will oversee projects ranging in scope from photography maintenance requests to custom digital products and large-scale brand activations.  

The Project Manager reports to the Director of Brand Strategy and serves a member of the Marketing team.  

Key Responsibilities:  

  • Receives and manages all incoming requests for the BT from internal stakeholders. Responsible for reviewing details and asking critical questions (including budget information if external resources will be necessary) prior to engaging resources to ensure the BT has the necessary information and assets to complete the project requests 
  • Works with the requesting teams and the BT to determine clear project timelines and laying out detailed project workflows, scheduling kick offs or other project orientation sessions as needed 
  • Oversees the scheduling of all tasks necessary for project completion, ensuring all team members and stakeholders are on deadline for work and feedback 
  • Responsible for reviewing proofs for high-level accuracy prior to internal stakeholder review; occasional copy-editing and formatting support may be required 
  • Responsible for checking in on progress throughout each day to ensure all tasks are being completed in-line with the production schedule and project timeline, including leading a daily standup meeting  
  • Demonstrates a solutions-oriented mindset, taking ownership of the project through completion, and is invested in the success of the overall project and organization at-large, offering internal stakeholders ideas and solutions that can help with cost savings and/or conservation impact 
  • Works closely with the Director of Brand Strategy and gives regular updates on current projects, resourcing challenges, and more 
  • Ensures all budgeting and invoicing for projects is processed according to Finance protocols 
  • Provides regular reporting on project completion rates and recommendations on how the team can streamline and enhance existing workflows 
  • Ensures the BT is oriented to new tools and resources within our workflow system to ensure teams are utilizing tools effectively  
  • Is a staunch advocate for our project management tools, providing orientation/workflow training to new employees and interested internal stakeholders who wish to learn more about our processes 
  • Manage the archival process for completed projects, ensuring the proper files and information are saved for future reference and use 
  • Overseeing outreach with external vendors and service providers as needed 
  • Other duties as assigned 

Qualifications: 

  • Bachelor’s degree in project management or related field 
  • 3 or more years’ experience in a project management role as part of a marketing and/or creative team 
  • Demonstrated ability to build strong interpersonal relationships and collaborate with others  
  • Strong command of project management tools; experience with Teamwork is preferred but not required  
  • Strong understanding of the creative production process, the creative development process, and all steps involved 
  • Proficiency with copy editing skills 
  • Strong communication skills 
  • Meticulous attention to detail 
  • Strong time-management skills; Able to prioritize and complete work assignments and projects in timely fashion while maintaining high-quality standards 
  • A self-motivated, problem solver with a passion for organization and task management 
  • Understanding and basic knowledge of Adobe Creative Suite is a plus 
  • Understanding of various platforms for content distribution and how they align with brand strategy
