Development Coordinator

The Development Coordinator supports the Development Department in a key role and is instrumental in coordinating the different professionals within the team and those that interface with the team both internally and externally.  This person will need to be able to work as part of the integrated team and independently on projects and programs that are within their daily responsibility.  Must be able to discreetly handle sensitive and confidential information.  This position reports to the Sr. Director of Development.

Essential Functions (including but not limited to):

  • Directly supports efforts by the Development Team to achieve organizational goals and impact business results.
  • Database maintenance to include Raiser’s Edge cleanup, merging records, address updates, wealth screenings and reports.
  • Conduct research to identify top level prospects on current and prospective individual donors, granting agencies, corporate sponsors.
  • Manage moves management coordination to ensure donor and prospects are being moved to the solicitation phase.
  • Manage Raiser’s Edge database and donor files, including managing all donor information, moves management, coding, analysis, gift/payment processing and tracking on Raiser’s Edge, and quality control.

Department Activities Coordination:

  • Manage campaign events with support, including cultivation events, and public outreach activities with Manager of Individual gifts and Events to do things like collect RSVP’s.
  • Maintain and update campaign prospect lists, solicitation calendar and related materials.
  • Prepare regular campaign reports tracking budget and financial performance with Sr. Director of Development oversight.
  • Coordinate and set up Zoo tours for prospective donors.
  • Manage stewardship efforts to ensure recognition and benefits are fulfilled in a timely fashion.
  • Support the development of proposals and grant submissions.
  • Create, prepare and format various reports and correspondence to support department programs and activities.
  • Prepare and oversee mailing of invitations for donor and sponsor events and maintain guest lists and assist in registration during events.
  • Coordinate maintenance of departmental assets (golf cart).
  • Direct Fund raising responsibilities:       
  • Manage donors under $1,000 with annual mailings, donor tours and move donors through the pipeline and cultivation process.  
  • Manage solicitation of silent auction items for Karamu.

Communications and Budget Management:

  • Maintain departmental budget and monthly account reconciliation.
  • Maintain fundraising materials/packets required for proposals and donor meetings.
  • Coordinates Board of Trustees Advancement related communication with Executive Assistant to CEO and supports meetings in the event of his/her absence.

What are we looking for?

  • Bachelor's degree preferred.
  • Minimum 2 years’ experience as an administrative assistant in development (Zoo/Amusement Park experience a plus).
  • Excellent proficiency in Microsoft Office including Outlook, PowerPoint, and Excel.
  • Experience with CRM strongly preferred, including Raiser’s Edge.
  • Experience with budgeting process; account tracking, submission of product and service orders, reconciliation of monthly budget.
  • Strong organization, project and time management skills.  Ability to work on multiple projects simultaneously, within strict deadlines.
  • Ability to write concisely and communicate effectively, verbally and in writing.
  • Demonstrated ability to work independently, follow instructions and anticipate next steps.
  • Must be able to think logically and solve problems diplomatically with minimal guidance.
  • Ability to maintain a positive attitude with guests and team, even in the face of adversity.
  • Bilingual is a plus.
  • Must possess excellent verbal and written communication skills.
  • Must be comfortable self-directing.
  • Capacity to anticipate: ability to think ahead and plan strategically.
  • Problem solver with strong project planning, management, and execution skills.
  • Must maintain a positive attitude with all constituents.
  • Ability to develop and maintain relationships across all levels within the organization.
  • Ability to communicate and embrace the Zoo’s mission and translate concepts into development opportunities. 
  • Ability to share information, plan, coordinate, and execute programs while working well across teams.

Other Requirements:

  • Conducts all activities in alignment with AZA standards and guidelines, all relevant laws and regulations, safety standards, and standards that ensure animal welfare.
  • Must be willing and able to work varied and long shifts including holidays, weekends, and events.
  • Must be available for unexpected donor and constituent meetings.
