Communications/Marketing Administrative Assistant

As the Communications/Marketing Administrative Assistant, you will provide support for the day-to-day operation of the Communications/Marketing department by monitoring and responding to comments and questions on social channels, answering department calls and emails in a prompt and courteous manner, maintaining communications databases, ordering and printing materials, data entry, and other administrative functions to assist the marketing director, senior advertising and sponsorship manager, and the chief communications and marketing officer.

Essential Duties and Responsibilities

  1. Monitor all social channels and review sites. Respond appropriately to comments and questions in a timely fashion
  2. Assist with social media and seasonal promotions
  3. Maintain media monitoring databases
  4. Help facilitate special requests, media visits, and photo/video requests
  5. Coordinate with the Chattanooga Tourism Company to schedule media visits.
  6. Respond to brochure requests and distribution of brochures
  7. Oversee ordering of office and kitchen supplies and maintenance of office equipment for the entire Marketing Department as well as ordering of Tennessee Aquarium branded envelopes and mailing labels
  8. Assists other areas of marketing as needed during major events
  9. Maintain confidentiality and discretion, demonstrate initiative, and anticipate advance planning

Knowledge, Skills, and Abilities Required

  • Demonstrated ability to interact appropriately with others on social media
  • Experience working as an Administrative Assistant in a department with multiple staff
  • Warm, positive, friendly, professional, and service-oriented
  • Superb oral and written communication skills including proper use of grammar and punctuation
  • Impeccable organizational skills, attention to detail, high level of accuracy
  • Proficient with Microsoft Office programs and social media platform admin tools
  • Ability to effectively multitask and handle frequent interruptions
  • Energetic team player
  • Valid driver's license

Educational/Experience Requirements

High School Diploma or GED; college degree preferred

Full time, hourly. Occasional evening or weekend event work may be required
