Events Manager

The Events Manager is responsible for leading and managing Aquarium public relations events and ticketed events, ensuring flawlessly implementation and managing allocated staff efficiently and accurately in performing duties as assigned.

Position summary: The Events Manager is responsible for leading and managing Aquarium public relations events and ticketed events, ensuring flawlessly implementation and managing allocated staff efficiently and accurately in performing duties as assigned.

Essential duties and responsibilities: 

  • Serve as the owner and champion for Aquarium events, including but not limited to Member, VIP, Signature, and Celebration events
  • Create yearly plan of Aquarium events that not only aligns with the Aquarium’s mission but also drives attendance and revenue
  • Provide direction for event presentation, ensuring staff exemplifies The Five Keys and performs all duties as assigned
  • Works with marketing team to ensure all events are successfully marketed and publicized
  • Work effectively across departments managing seasonal and delegated staff in the implementation of successful events
  • Ability to delegate tasks appropriately among multiple teams
  • Direct the planning, logistics, and follow up procedures of all events
  • Collaborate with Director on preparation and administration of annual budget
  • Manage individual event budgets, demonstrating fiscal responsibility and allocating
    funds as needed
  • Works in concert with the group sales event team to manage outside event vendors, partners, and consultants including contractual documentation, and establishing and maintaining relationships
  • Plan and administer guest research surveys and benchmarking to determine event effectiveness and obtain suggestions for improvements
  • Responsible for ensuring corporate/donor deliverables for member, VIP, Signature, and Celebration events are met as required
  • Schedule kick-off meetings for larger Aquarium events and delegate tasks to event committee team members
  • Maintain accurate and current databases of events; managing, tracking, recording, and reporting event data
  • Generate and share event plans and summaries, agendas, production schedules, and confirmation emails to team members.
  • Use Galaxy planner and order entry system to schedule, monitor, and update event information
  • Utilize computer programs (DOMO, Social Tables, and others) for planning and reporting purposes
  • Manage music licensing, reporting, and compliance for the Aquarium and events
  • Ensure web information and promotional materials for all events are accurate.
  • Inventory and asset management of event equipment, supplies, and décor.
  • Night and weekend work required
  • Act as Aquarium Leader-on-Duty as needed on select weekends and evenings
  • Completion of all other duties as assigned

Education: Bachelor’s degree in a related field (hospitality, business, marketing, communication, etc.) from an accredited college or university. 

Critical skills/competencies:

  • 5+ years in hospitality and event-related roles managing events with 500+ guests
  • 2+ years collaborating with and managing multiple teams for events
  • Experience working with outside vendors
  • Experience with budgeting and accurate record keeping
  • Exceptional attention to detail, time, organization, and personnel management skills
  • Outstanding verbal and written communication skills
  • High level of multitasking ability under tight deadlines and high-pressure situations
  • Ability to develop and monitor measurable goals, analyze data, and report results
  • Advanced computer skills including Microsoft Office programs
  • Familiarity with Salesforce and WordPress preferred
  • Ability to work non-traditional hours
