Full Time Position- Must be available to work nights and weekends

Position: Special Event Coordinator

Position Type: Full Time

Work Week: Typically Monday-Friday with frequent weekends. Additional nights, weekends and overtime as needed. Flexibility required.

Supervisor: Director of Events


Job Description- The Special Event Coordinator coordinates the Zoos public events, event programs and event activities to drive attendance, assists with the planning of mid to large scale revenue generating events, oversees event run of show, oversees department programs, and partners with other departments and outside production teams to support the educational, fundraising and attendance goals of the Zoo.

Basic Function & Responsibilities:

  • Develop, coordinate, budget and execution of Zoos family focused events.

  • Assist in the development, coordination, budgeting, and execution of Zoos fundraising events.

  • Work with various Zoo departments, Sponsors, or Partners to coordinate logistics for their planned programming and event production.

  • Works within prescribed budget guidelines to generate budgeted income with annual sustained increase.

  • Work with Director of Events to plan annual calendar, budget, and event expectations.

  • Work with Volunteer Coordinator to schedule and coordinate coverage for event programs.

  • Work with Event Operations Coordinator to analyze and prepare logistical needs for events including layout and run of show

  • Work with Event Operations staff to research and create event activities and props/sets including procurement of materials

  • Contributing events writer and consulting staff member for membership newsletters and website.

  • Provides program information/assistance to the public regarding Zoos upcoming events

  • Creates appropriate sponsorship benefit opportunities within events and ensures that sponsors receive contracted benefits and recognition.

  • Onsite coordination of sponsor related activities to ensure sponsor receipt of activation benefits outlined in partner agreements.

  • Solicit in-kind donations for events as needed to offset budgeted items.

  • Sell and coordinate event booth vendor opportunities

  • Other duties as assigned and needed to attain cohesive team objectives


Work Requirements and Qualifications:

  1. Education

    1. Bachelors Degree from an accredited university and 2+ years professional experience in event production, preferably in a non-profit environment.

  2. Knowledge, Skills, and Characteristics

    1. Able to work independently to manage multiple projects simultaneously.

    2. Excellent organizational, analytical and creative skills, results and detail oriented.

    3. Must be flexible and adaptable, able to perform physically demanding work in a variety of conditions.

    4. Excellent interpersonal skills with clients, guests and staff

    5. Must represent the Zoo in positive manner at all times

    6. Able to take full initiative in starting and completing tasks

    7. Must be proficient in spreadsheet and document applications (Excel, Word, Outlook etc) including basic budgeting and accounting procedures.

    8. Accurate and efficient, time management skills.

    9. Able and willing to work a non-standard work week, including nights and weekends and a flexible schedule with overtime as needed.

    10. Excellent written and oral communication skills.

    11. Must possess a valid drivers license.

  3. Physical Requirements

    1. Ability to work outside in a variety of conditions, as needed.

    2. Ability to climb stairs and ladders.

    3. Ability to lift materials up to 50 pounds.

    4. Ability to bend and kneel.

    5. Ability to stand for up to 10 hours per day

    6. Ability to operate golf cart or rtv vehicle

Uniform Requirements:

Both business casual and workwear as needed. A Zoo logoed shirt is provided for public and private event days.
