General Statement of Position
Under general supervision, assists the Association of Zoos and Aquariums’ (AZA’s) conservation and science-related activities. Responsibilities include: maintaining and utilizing departmental databases, assisting with the administration of AZA’s grant programs, providing administrative support for AZA SAFE: Saving Animals From Extinction and other conservation and science programs, preparing and editing reports and updates for publication, and preparing and giving presentations. Position will communicate with, and provide excellent member services to, SAFE Species Programs, AZA members, AZA Committees, and the general public; and will complete general clerical duties as needed. Reports to the Vice President of Conservation and Science.
Essential Position Functions:
Update and maintain AZA’s conservation database (includes field conservation, research, and green practices) using Association Management Software; Query data for communications and to track member accountability; Maintain consistent communication with members submitting data.
Develop, review, and edit conservation and science related publications and presentations, including the Annual Report on Conservation and Science and Highlights.
Assist with general administration of AZA’s granting programs and maintain consistent communication with applicants, reviewers, and awardees.
Verify data, update, and maintain the SAFE Program databases, tracking spreadsheets, and handbook; Process new program proposals and assist with coordination of program plan review; Develop and run SAFE Program database queries as needed.
Assist with general administration of AZA SAFE; Maintain consistent communication with related committees and program leaders.
Assist with general administration of AZA’s citizen science program, FrogWatch USA, including communication with chapter coordinators and volunteers, data and database maintenance.
Update and maintain departmental sections of the AZA website.
Assist departmental staff with special projects and clerical duties, including maintenance of SOPs for the department's activities and responding to general inquiries. Perform other duties as requested.
Knowledge, Skills and Other Characteristics:
Computer literacy, including familiarity with Microsoft Suite (Word, Excel, PowerPoint) and Outlook.
Strong attention to detail; skilled in entering and managing data accurately, querying data, and reviewing and formatting reports.
Strong typing, writing, and proofreading skills.
Organizational and communications (written and verbal) skills.
Skill in establishing and maintaining effective working relationships with professionals.
Ability to work independently and efficiently.
Familiarity with biology, biological concepts, and/or conservation helpful
Minimum Training and Experience:
High School Degree or GED (minimum), plus experience in data management and processing, or background in the biological sciences.
