Executive Assistant


• Provides administrative support including schedule management and filing

• Drafts correspondence, including letters, on behalf of CEO

• Coordinates the activities of the Board, and its Committees, which includes preparation of agendas, minutes and briefing materials

• Prepares, coordinates and distributes budget and business plan reports to City Council and its Committees

• Coordinates and supports management activities of the Directors

• Interacts with staff in undertaking special projects, coordinating announcements, messages, and initiatives, and hosting of special events

• Conducts research and analyzes information in preparation of materials for the CEO and Directors, as well as reviews materials for internal and external distribution from the President’s office

• Schedules and sets up new Trustee orientation

• Books domestic and international travel on behalf of President and CEO

• Coordinates the Society Annual General Meeting as required by Bylaws

• Carries out projects, as determined by the President, including coordination of strategic planning processes and any others related to organizational goals

• Prepares information reports, speeches, protocol arrangements for the activities of The Society and other information as required

• Provides administrative support to all the Directors

• Other tasks as needed


• 3-5 years of experience in an Executive Assistant position, experience in the public service or non-profit sector would be considered an asset

• Board relations experience a definite asset

• Excellent communication, organizational, interpersonal and research skills

• Strong written skills and ability to draft correspondence, including letters, with limited direction

• Working knowledge of various Microsoft programs, including Outlook, Word, PowerPoint and Excel

• Professional and mature demeanour

• Understands the importance of diplomacy and confidentiality

• Must be extremely efficient, have the ability to work independently with minimal instruction, and also be able to work well as part of a team

Physical demands:

• Sedentary position

• Requires extensive use of computer

• Some mobility on grounds required

• Position requires you to attend meetings that may be scheduled early mornings and/or early evenings
