Seasonal Receptionist

The Receptionist is responsible for addressing and directing visitors, vendors, switchboard calls and intra-zoo radio communications. There are also a variety of clerical duties to be performed. The receptionist must represent the zoo in a professional manner while maintaining a presentable work area.

Essential Functions and Responsibilities:

Open the receptionist area and switchboard prior to business hours. Dependability is critical due to the fact backup staff is not present. At the end of the shift secure the area and transfer the telephone system to security.

Maintain accurate and complete sign-in procedures for on-site visitors.

Record all call outs and notify the appropriate supervisor.

Address all inquires in a professionally and courteously manner. If unable to provide the information guests should be directed to the appropriate staff.

Utilize the automated switchboard and intra-zoo base radio to direct audio communications throughout the Zoo.

Ensure receptionist coverage during all normal shift hours. Upon occasion it will be necessary to provide receptionist coverage after normal office hours.

Maintain an open dialog with your supervisor keeping him/her abreast of issues, problems and relevant issues of concern impacting the receptionist functions.

Maintain confidentiality of information passing through the reception area and switchboard. Information should only be disclosed on a need-to-know basis. At no time should Zoo information be disclosed or discussed with the public that has not been approved for release.

Perform other duties as assigned.

Adept at using the Philadelphia Zoo’s web-site and Outlook calendar to provide information and referral.

Exhibits genuine concern for visitors and always conducts oneself appropriately and professionally.

Promote or suggest other zoo programs or attractions that may be of interest to the visitor or caller.

Education and Experience:

High school diploma or equivalent.

Knowledge of basic administrative and clerical procedures.

Knowledge of computers and relevant software applications.

Knowledge of customer service principles and practices.

Keyboard or switchboard skills.

Additional Requirements:

Good verbal and written communication skills.

Professional personal presentation.

Good people skills.

Possesses the ability to organize and plan.

Must be comfortable working in a stressful environment.

Subject to a personal background check.
