The Fundraising Events Manager is responsible for managing an active fundraising events calendar with an emphasis on maximizing revenue. The primary role of this position is to coordinate the Detroit Zoological Society’s largest annual fundraiser, Sunset at the Zoo. The Fundraising Events Manager has the authority to carry out the job requirements and responsibilities and is accountable to the Marketing Director.The following responsibilities of fundraising events and Sunset at the Zoo are assigned to the Fundraising Events Manager.PRE-EVENT• Write the event plan/concept/theme• Create and maintain event budget.• Coordinate activities with appropriate Zoo staff, concessionaire, vendors/suppliers, talent/entertainers and independent contractors, etc.• Create and manage event timeline (including timing for promotional materials, dates logos need to be received from sponsors, date promotional materials will be displayed, dates event talent/activities to be confirmed, etc.).• Collaborate with the Sponsorship Manager to identify sponsorship benefits, sponsor prospects and proposal details.• Assist with sponsorship solicitations.• Solicit and secure in-kind donations for use as auction items.• Solicit and secure restaurants.• Recruit and cultivate volunteer committee members.• Schedule volunteers and appropriate staff for pre-event, event and post-event activities.• Produce event and promotional materials (invitations, signage, banners, programs, etc.) including obtaining vendor bids, design of promotional materials, ensuring all promotional materials completed in a timely manner.• Write copy for communications and event promotional materials (events calendar, Habitat, Zmail, media spots, website, etc.). Collaborate with Communications Director and Sponsorship Manager.• Manage relationships with event media partners.• Complete and distribute event synopsis 20 – 30 days prior to event.• Promote ticket sales.EVENT• Coordinate logistics of events.• Execute event and handle the details.• Manage event volunteers and staff.• Troubleshoot event challenges.• Ensure event photos are taken.POST-EVENT• Finalize event closing details.• Conduct wrap meeting with committee members and appropriate staff to evaluate event successes.• Create event analysis report with conclusions and recommendations.• Maintain event database in Raiser’s Edge.• Work with Marketing Associate on event wrap report for sponsors.• Send thank you letters to sponsors, donors, committee members, etc.GENERAL RESPONSIBILITIES• Supervise the Events Associate.• Research zoos and organizations in order to enhance existing events and create new opportunities.• Develop new fundraising events as appropriate.• Assist with other departmental events as needed.• All other responsibilities and tasks as assigned by the Director of Marketing.WORKING CONDITIONSRegular work schedule may include weekends or may be required to work evenings, weekends and early-mornings. The work environment is generally comfortable and most work is indoors although the position may require work outdoors with exposure to seasonal weather conditions for special events, tours, openings, etc.PHYSICAL REQUIREMENTSMust be able to perform the principle duties of the job. Requires moderate physical effort on a daily basis such as walking, bending, stooping and standing for extended periods of time. Must be able to use a computer and telephone, communicate with employees, candidates, vendors and visitors and use reasoning and calculation skills and make decisions. Must be able to lift and move 20 pounds. Reasonable accommodations may be made to enable qualified individuals with disabilities to perform the essential functions of the job.MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:• Bachelor’s Degree in event, marketing, or non-profit management, public relations, communications or other related business majors. • Five years of event experience.• Experience working with volunteer committees. • Must work and communicate in a professional manner.• Excellent verbal, written, listening and public speaking skills. • Must be very organized with strong time management skills and must be detail oriented with the ability to manage multiple priorities concurrently. • Must have knowledge of Microsoft Office, Word and Excel.• Very good reasoning, decision making, and problem solving skills as well as internal organization, persuasion and recruiting skills. • Must exhibit initiative and teamwork. • Valid driver’s license required.To view complete job descriptions and to apply online, please visit The direct link to the jobs page is:
