This full-time position reports directly to Director of Memberships and requires the individual to work on-site. This position has the responsibility of maintaining the integrity of all member records, providing reports and support needed for membership activities, including sales, processing and operations. This position serves as liaison with the accounting department regarding all membership processing, accounting procedures and budget processing. This position will serve as the information systems network administrator for the entire department and will be the department liaison with IT department, software vendors and consultants. This position will manage the department’s data entry staff. This position will also work closely with the Manager of Member Relations to provide leadership to on-site sales and membership window staff.


Manage all financial and administrative systems as related to the membership department.

-Lead staff in decisions about most effective use of fundraising software (Raiser’s Edge).

-Manage department data entry staff.

-Work with IT in the management of the computer network and software upgrades as it relates to membership sales.

-Design, implement and maintain data entry processing system for membership activities. Train staff on data entry process and create procedures on “best practices” for entering membership sales into the system.

-Manage the data entry process of entering and acknowledging all memberships in a timely basis in accordance with standard practices.

-Design, create & generate reports in coordination with Director of Memberships.

-Produce membership sales reports for daily, weekly and monthly review.

-Strategically plan and manage all campaign tracking in Raiser’s Edge.

-Set up and train new users on fundraising software.

-In concert with the accounting department, reconcile membership sales reports.

-Work with Director of Memberships to prepare and manage annual department budgets and monthly forecasts.

-Keep computer files saved and organized on the network share drives, intranet, working with all staff on specific needs and directory structures. Ensure proper backup of old directories is kept.

-Responsible for members stored information and permanent files.

-Assist in special events and after hour programs as needed.

-Performs other duties as requested.


Bachelor’s degree


Three to five years of nonprofit financial and/or development or membership operations; extensive knowledge of fundraising software and skilled in Raiser’s Edge, Crystal Reports and Microsoft Office products. Knowledge of Agresso accounting software, a plus.


Manage membership department data entry staff.

Physical Effort

The position requires walking, bending and reaching as needed for filing and maintenance of file records and use of a keyboard regularly. Light lifting, such as three or four reams of papers or books or file boxes of paper (up to 20 pounds or an equivalent weight) is required.
