DESCRIPTION:

Provide administrative support to Development Department. Duties include letter processing and filing for all gift acknowledgements, providing support for all donor events including managing event RSVPs, maintaining an accurate inventory of department supplies, scheduling donor tours and meetings, filing, faxing, and other miscellaneous office duties as assigned.

RESPONSIBILTIES:

•Prepare and print all thank you letters for donors daily in Raiser’s Edge software.

•Manage letter process including tracking, ensuring all are signed, mailed and filed on a timely basis.

•Keep inventory of all printed materials and office supplies and order as necessary, working with purchasing and graphics as needed.

•Maintain copy room and submit work orders for any necessary repairs or changes to equipment, furniture, etc.

•Development event management including create, track, and report all RSVP’s in Raiser’s Edge.

•Coordinate use of Zoo facilities for meetings and planning sessions related to department activities.

•Schedule donor lunches, tours, and meetings, as needed.

•Process mail for department twice daily.

•Assist development department with mailings, list management, mail merges, events, copy materials, stuff envelopes, process invoices, etc.

•Enter data in a timely manner into Raiser’s Edge (actions, letters, notes, etc).

•Prepare documents for weekly and miscellaneous meetings, and events.

•Prepare donor club packets, name tags and materials.

•Assist in any data entry, lists, misc. info needed into RE.

•Answer phone including donor VIP line.

•Provide backup support for P-Card and reimbursement for staff.

•Perform other duties as requested.

JOB REQUIREMENTS:

EXPERIENCE:

3-5 years of administrative experience; experience in a Development office preferred. Must be able to multi-task and work independently. Some knowledge of Raiser’s Edge preferred.

KNOWLEDGE:

Bachelor’s degree preferred. Excellent writing, communication and organizational skills, and computer skills required. Strong computer skills required, including proficiency with Microsoft Word, Excel, PowerPoint, Outlook and database programs.

SUPERVISION

Reports to Manager of Development Operations

SKILLS:

PHYSICAL EFFORT:

The position involves minimal physical exertion, such as computer work, walking to and from select buildings, lifting small boxes (less than 20 lbs.) and setting up tables for events.

PUBLIC CONTACT:

The position requires public contact requiring considerable interpersonal skills, extensive interaction with the public, donors, members, and the press and requires a high degree of appreciation of customer service.
